It might be tough scheduling an important meeting between two busy people, much less many more. Sometimes it seems like you need to arrange an additional meeting just to discuss the time everyone has open to schedule the other meeting. It’s a tough job when all invitees aren’t free at a same time. Before you schedule that meeting about scheduling your meeting, I suggest you check out Tungle.
What is Tungle?
Tungle is an online tool that lets you schedule meetings with coworkers at the convenience of everyone. How? Well, the process is simple. You just plan the meeting, provide the meeting details, propose some possible times, input the email addresses of everyone attending and Tungle will do the rest.
Why Tungle?
The rest, as mentioned above, means a lot of things. Tungle sends an email with the meeting agenda to everyone invited to the meeting. It also lets everyone accept any of the proposed times or choose their own. Once everyone has responded, the time that most people have chosen will be the final and an email will come back to you. Once you confirm the meeting, an additional email will be sent to everyone in your invitation list.
Luckily, people don’t have to be registered with Tungle in order to receive and respond to invitations, just the meeting organizer. You can send single invitations to people through three simple steps without signing up although registration is recommended, because once you’re registered, Tungle will create a calendar for you. If you already have a calendar, such as Google Calendar, Entourage, Apple iCal, Outlook, etc, Tungle will easily synchronize with them and add events.
Also, if you have an account in Tungle, your calendar will be available to every one so that people will be able to know when you are free and when you are not. This way, you can simply show people what is the best time for them to make an appointment or arrange a meeting for you.
If both parties have accounts in Tungle, the process is even easier.
How to Schedule a Meeting
Without signing up, you can arrange a meeting by Tungle. To check this out, head to the Tungle homepage. You will see a text box next to “Schedule a Meeting Now.” Type the topic of your meeting in the box and hit the “Go” button.
In the next screen, you will be asked to provide further details of the meeting. There you can optionally select a location for holding the meeting, type messages to the people being invited and declare the possible duration of the meeting you’re about to schedule. The location option is a nice addition, because it uses the power of Google to help you find a location if you don’t have one already. Once done, click the button that sits lower right.
For the second step, you will be asked to identify yourself (as long as you don’t have an account or are not signed in). You need to fill out the fields that ask for email address and your name. You will also need to provide the email addresses of the recipients.
Once you complete a step, you will be taken to the next tab.
In the following step, you will be able to propose some times that the invitees will be able to choose from. Once done, click the Create Invitation button, and you are done.
Conclusion
Tungle is a great solution for scheduling meetings with people who aren’t all on the same system. Not everyone uses Outlook. Tungle helps bridge the gap between the different calendar services out there. If you plan to use Tungle often, I definitely recommend registering an account to get the extra options that are offered. How do you schedule and organize your meetings?
